Email Archive

🔹 Overview:

The Email Archiving feature allows you to save incoming, outgoing, and mailing list messages for a specific period of time.
This feature stores messages inside the user’s main mail directory and creates a new folder every day based on the type and date format “YYYY-MM-DD”, which contains all messages for that day.


🧾 Notes:

  • Email Archiving is enabled for all email accounts under the domain, not for a single mailbox.

  • You can view archived emails only via webmail using one of the following email clients:
    Horde – SquirrelMail – RoundCube.

  • You can send a copy of all archived emails to another email address through the web interface.

  • Email Archiving consumes additional disk space, depending on the period you choose to keep messages.

  • Email Archiving does not store messages sent or received before activation.


⚙️ Enable and Configure Email Archiving:

1️⃣ Log in to your cPanel account.
2️⃣ Click on Archive.
3️⃣ Choose the type of archive you want to activate.
4️⃣ Select the retention period (forever or for a specific duration).
5️⃣ Click Apply to All My Domains to enable archiving for all domains under your account.


💾 Download the Archive:

To download the archive to your local computer:
1️⃣ Click Download Archives.
2️⃣ Select the folder you want to download:

  • All archives

  • Incoming

  • Mailing Lists

  • Outgoing
    📎 A .zip file containing the archived messages will be downloaded to your computer.


🌐 Accessing the Email Archive:

1️⃣ Click Access Webmail to view archived messages.
2️⃣ Choose the preferred webmail client:

  • SquirrelMail

  • RoundCube

  • Horde

3️⃣ A new subfolder will be created each day under the Archive folder, based on the type and date format “YYYY-MM-DD”.

📂 To show or hide subfolders:

🔸 SquirrelMail:

  • Go to Folders, select the subfolder, click Subscribe, then refresh the page.

🔸 RoundCube:

  • Go to Settings, select the subfolder, then refresh the page.

🔸 Horde:

  • Click Folder Actions to display all mailboxes.

  • Right-click the desired subfolder and click Subscribe.
