Client Profile – Summary (WHMCS)
🎬 Practical Video Guide – Service Management
This video provides a step-by-step practical demonstration of all service management operations explained below.
You will see how to link services, reset and send passwords, change service information, issue invoices, suspend/unsuspend services, make exceptions, cancel, transfer ownership, and recreate services in a real client account scenario.
Overview
The Client Profile Summary page in WHMCS is the main dashboard for each client.
From here, you can quickly access all the client’s details — contact info, invoices, services, tickets, and administrative actions.
This page is your go-to place to understand a client’s overall account status before taking any support or billing action.
Navigation Tabs
At the top, you’ll find several tabs:
Summary / Profile / Users / Contacts / Products/Services / Domains / Billable Items / Invoices / Quotes / Transactions / Tickets / Emails / Notes / Log.
Each tab opens a different section of the client’s data — the Summary tab gives the full overview at a glance.
Client Information
Displays the client’s:
-
First/Last Name
-
Company Name
-
Email Address
-
Address and Country
-
Phone Number
🟢 Tip: Always double-check the contact email and phone number before processing sensitive changes (like ownership transfers or billing updates).
Record any manual updates in Admin Notes for transparency.
Invoices / Billing
Shows key financial data:
-
Paid, Draft, Unpaid/Due, Cancelled, Refunded, and Collections
-
Gross Revenue, Client Expenses, Net Income, and Credit Balance
🟢 Tip: Before creating or modifying invoices, check the Credit Balance and Auto CC Processing status.
If auto billing is enabled, confirm the client’s payment method is valid to avoid failed payments.
Products / Services
Lists all services linked to the client:
-
Shared Hosting
-
Reseller Hosting
-
VPS / Servers
-
Domains
-
Support Tickets and Affiliate Signups
🟢 Tip: If a client reports an issue, check their active services here first to confirm the service status before escalating to technical support.
Contacts & Users
Used to manage additional contacts or linked users for the account.
For business clients, you can add billing, technical, or administrative contacts.
🟢 Tip: Assign clear permissions for each contact — for example, “Billing only” or “Support only” to avoid confusion.
Other Actions
Provides quick admin shortcuts:
-
View Projects
-
View Account Statement
-
Open / View Support Tickets
-
Merge Client Accounts
-
Activate as Affiliate
-
Close or Delete Account
-
Export Client Data
⚠️ Warning: Deleting a client account is permanent. Always ensure backups or approvals are in place before deletion.
Files & Recent Emails
-
Files: Displays any uploaded files related to the client.
-
Recent Emails: Shows the latest system emails sent to the client (invoice confirmations, reminders, etc.).
🟢 Tip: If a client claims they didn’t receive an email, check this section to confirm delivery and timestamp.
Admin Notes
This field is for internal use — document any manual actions, verifications, or client communications here.
🟢 Best practice: Use a consistent format for notes, e.g.:[Date] – [Action Taken] – [Admin Name]
Example:2025-10-05 – Verified client identity via email confirmation – John D.
Status Flags (Top Right)
You’ll see account flags like:
-
Exempt from Tax: Yes/No
-
Auto CC Processing: Yes/No
-
Send Overdue Reminders: Yes/No
-
Apply Late Fees: Yes/No
🟢 Tip: These affect automated billing behavior — confirm settings before changing them to match company billing policies.
